Things to Know: Time entry should be the very last thing completed after verifying that employees have been assigned to the correct route and route activity has been properly completed.
You will begin Time Entry after you have completed Route Activity.
Select the date that you want to do Time Entry for and then click search, it defaults to yesterday. There is a box to check if you need to enter time for employees who are inactive. You will see grid like the one below. Click on the pencil in front of the first employee you want to do time entry for.
You will now see the time entry screen for the employee you selected. You should also see in the middle of the screen the cleans that they completed and their start and end time. If there is anything that appears in the Unrecorded Cleans section, this means that route activity was not completed for this customer. Return to route activity to record the time for the customer. If all cleans are properly recorded, You will then click on the Day start box that is highlighted yellow and begin time entry for the employee.
Enter the start time for the employee, all four spots need to have information entered, so if the time is 7:30am – you need to enter 0730 the am will populate for you, if the start time is 10:30am you would enter 1030 and the am will populate for you.
Key in 0730 and then click TAB
You will see that the time in is entered and the Break Start box is now highlighted yellow. Enter all times that you have for the employee.
After you have entered the Day End time, you will see the next arrow is now highlighted.
If you have no more time to enter for this employee, hit enter and it will advance to the next employee.
Please note that if a break was taken in the middle of the clean, you will get a Times are overlapping warning. This alert was put in place to warn the office of the issue. If the times are correct and the team did take a break in the middle of the clean, click save and move on to the next employee.
If you are paying an employee time other than their cleaning time, you will enter that time into events (see below).
Enter the start time for the other time, and the end time for the other time.
Then enter the activity type, typically this will be Other Time in.
Choose their position in then next box and then any comments if you need to.
It will calculate the hours and then enter the rate and confirm the total (see below).
Last click the arrow pointing to the left to add it to the grid.
Then click save.
